Beginning Thursday, December 11, there will be a new, streamlined process for email distribution designed to keep QCC employees informed while reducing inbox clutter.
At the start of 2025, the Communications Committee was formed to create a unified plan that streamlines messaging, ensures consistency, and promotes clarity for students, faculty, and staff across the college. After months of discussions with multiple departments, the Committee formulated this new format to optimize email communications for faculty and staff.
What’s Changing?
QCC Family will become QCC Community
• The current QCC Family email distribution list will be renamed QCC Community. The QCC Family email list will officially sundown at the end of the day on Monday, December 8, and on Thursday, December 11 we will begin a soft launch of the new email system.
Twice-Weekly Email Digest
• All campus-wide announcements will now be consolidated into a QCC community digest, called “Inside QCC,” which will be sent every Monday and Thursday to the QCC Community email distribution list. This will make it easier to stay up-to-date without multiple emails throughout the week.
New Features
• Add to Calendar: Events will include a quick “Add to Calendar” button for your convenience.
• Archival Access: Past announcements will be archived in SharePoint and organized by department for easy reference.
• Events and announcements will be included in the digest for up to three weeks.
• Emails will be organized by department.
Soft Launch
• Please ensure any items you want shared through the current QCC Family list are submitted to Institutional Communications Project request form (www.qcc.edu/request) before Monday, December 8. This will be the new process moving forward.
Urgent Communications
• The newly named QCC Community list will be used for most collegewide communications. Access to the distribution list for urgent messages outside of scheduled digest times will be limited to personnel responsible for campus safety, leadership, and communications (such as Campus Police, IT, the President’s Office, and Institutional Communications).
Important Items of Note
While Institutional Communications asks for a two-week turnaround for projects, they will ask for a one-week notice for all email requests. For example, if you want your email to begin on a Monday it must be sent the previous Monday. The same for a Thursday email request. Please remember to send all information with your email request. Any additional marketing request associated with the email will follow the standard two-week turnaround.
If you desire a specific layout and formatting for your email, you can send it the way you would normally send to QCC Family and we can duplicate it in this new format.
While this is a major change from how emails have been done at QCC, this transition is an important step towards a more efficient and user-friendly communication system.
